Webist Pro Sdn. Bhd. (201501024758 (1150087-T)) is the data user responsible for personal data collected through this website and in the course of its business. This statement explains what we collect, why, who we share it with and the choices you have.

1. Who this statement covers
This statement applies to visitors of webist.com.my, people who contact us by email, telephone or WhatsApp, candidates who join our talent network, and the business contacts of our clients, prospects, partners and suppliers. It is written to meet the notice requirements of the Personal Data Protection Act 2010 (Malaysia) and is applied in the same spirit to data about people in the other markets we serve.
2. The personal data we collect
- Contact and business details you provide when you send us an enquiry: name, company, job title, country, work email address, telephone or WhatsApp number, the industry you work in and the roadmap or roles you describe to us.
- Candidate details you provide when you submit a profile to our talent network: name, email address, location, primary role, links to your professional profiles or portfolio, and a description of the systems you have built.
- Correspondence with us by email, telephone, WhatsApp or video call, including notes of meetings and discovery calls.
- Website usage data collected through cookies and similar technologies where enabled: pages visited, time on page, referring site, approximate location derived from your IP address, browser and device type. Our Cookies Policy describes these in detail.
- Social media interactions when you follow, message or engage with our LinkedIn or Facebook pages, subject to the privacy terms of those platforms.
The enquiry and talent-network forms on this website do not store or transmit anything to webist.com.my. They prepare a message in your own email application or in WhatsApp, which you review and send yourself; the data reaches us only when you send it.
3. How we use personal data
- To respond to your enquiry, arrange the discovery call you asked for and prepare a quotation.
- To match candidates with capability slots in client teams and to contact them about suitable roles.
- To manage our relationship with clients, partners and suppliers, including contracts, invoicing, delivery reporting and support.
- To send occasional updates about Webist services, insights and events where you have agreed to receive them or where we have an existing business relationship; you can opt out at any time.
- To understand how the website is used, keep it secure and improve its content.
- To meet legal, regulatory, audit and security obligations, including the technology risk requirements of the regulated clients we serve.
4. The basis for processing
We process personal data with your consent (for example when you send us an enquiry or submit a profile), where it is necessary to perform or prepare a contract with you or your organisation, where we have a legitimate business interest that does not override your rights (such as relationship management, security and website analytics), and where the law requires it. Where consent is the basis, you may withdraw it at any time by contacting us at the address below.
5. Who we share personal data with
- Webist group entities in Malaysia, China and the Philippines that support delivery, recruitment and administration, under the same confidentiality obligations.
- Service providers that host our website, run our email, CRM, video conferencing, document and analytics tools, and act only on our instructions.
- Clients, in the case of talent-network candidates, when you have agreed to be introduced for a specific role.
- Professional advisers, insurers and auditors where needed to run the business.
- Regulators, law enforcement and courts where disclosure is required by law or to protect our rights, our clients or the public.
We do not sell personal data.
6. International transfers
Because our delivery network operates in Malaysia, China and the Philippines, and because the service providers we use may host data in other countries, personal data may be transferred outside the country where it was collected. We transfer data only where it is needed for the purposes above, and we rely on contractual safeguards, access controls and the security measures described below to protect it.
7. How long we keep personal data
Enquiry data is kept for as long as we need it to respond and to maintain a business relationship, and for a reasonable period afterwards in case you return to us. Talent-network profiles are kept until you ask us to remove them or until we conclude that they are no longer current. Contractual and financial records are kept for the periods required by Malaysian company, tax and audit law. Website usage data is kept for the retention periods set by the analytics tools we use, described in our Cookies Policy.
8. Security
Personal data is held on access-controlled systems, protected by authentication, encryption in transit and role-based permissions, and is accessible only to staff who need it for the purposes above. Our own teams work inside managed cloud desktops, which keeps client and candidate data off personal devices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we review our controls regularly and will notify you and the relevant authorities where the law requires it if a breach affects your data.
9. Your rights
Under the Personal Data Protection Act 2010 you may ask us for access to the personal data we hold about you, ask us to correct data that is inaccurate, incomplete or out of date, withdraw consent to processing, limit processing for direct marketing, and ask us to delete data we no longer need. To exercise any of these rights, write to hello@webist.com.my. We may ask you to verify your identity before acting on a request, and we respond within the time allowed by law. If you are not satisfied with our response, you may complain to the Personal Data Protection Commissioner of Malaysia or the supervisory authority in your own country.
10. Children
This website and our services are intended for businesses and working professionals. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
11. Links to other websites
This website links to third-party sites and services, including LinkedIn, Facebook, WhatsApp and Google Maps. Their privacy practices are governed by their own statements, and we encourage you to read them.
12. Changes to this statement
We may update this statement from time to time to reflect changes in our services, the law or our practices. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
